Data protection policy

Purpose and scope

This policy describes how NetExplorer SAS (operating under the Voltn brand) processes personal data collected via the voltn.eu website, as part of its marketing and sales activities.

It concerns exclusively data collected through the forms on the website (contact and demonstration requests, sign-ups, downloads, etc.). It does not cover data that our customers host within the Voltn solutions (Share and Workspace): for that processing, carried out in our capacity as a processor, separate contractual documents (processing agreement / DPA) apply and are made available to business customers.

Data collected

We only collect data that you provide to us voluntarily via the forms on the website, in particular when you:

• make a contact or demonstration request;
• subscribe to our newsletter;
• download a resource (white paper, guide, etc.);
• register for a webinar or an event;
• submit a job application.

The data concerned may include: surname, first name, business email address, telephone number, job title, organisation name, and the content of your message. Mandatory fields are indicated on each form; the others are optional.

All of these forms are managed through our customer relationship management tool, HubSpot.

Purposes and legal bases

Your data is processed for the following purposes:

• Responding to your requests (contact, demonstration, information) — legal basis: pre-contractual measures or legitimate interest in responding to your enquiries;
• Sending you our marketing communications (newsletter, invitations, content) — legal basis: your consent, which you may withdraw at any time;
• Managing our commercial relationships and prospecting — legal basis: legitimate interest in developing our business;
• Processing job applications that you send us — legal basis: pre-contractual measures;
• Measuring the performance of our email campaigns (see below) — legal basis: your consent.

Email open tracking (tracking pixel)

Our marketing emails may contain a tracking pixel, integrated via HubSpot. This allows us to measure the open rates of our communications as well as the times at which they are read, in order to improve the relevance and frequency of our mailings.

This tracking applies only to our marketing emails and is based on your consent, obtained when you sign up. You can object at any time by unsubscribing, using the link at the bottom of each of our emails.

Recipients of the data

Your data is intended for the marketing and sales teams of NetExplorer SAS. It is processed within our HubSpot tool, which acts as a processor on our behalf.

We do not transfer, rent or sell your data to third parties for commercial purposes.

Hosting and data transfers

Data collected via our forms is hosted within the European Union, in Germany, on the infrastructure of our HubSpot tool.

As HubSpot is published by a company established in the United States, access to your data from a country outside the European Union cannot be entirely ruled out, in particular for support or technical administration purposes. Such access is governed by appropriate safeguards in accordance with the GDPR (European Commission standard contractual clauses and/or the publisher's participation in the EU–US Data Privacy Framework), in order to ensure an adequate level of protection for your data.

Retention periods

We keep your data for no longer than is necessary for the purposes pursued:

• Prospects and contact requests: up to 3 years from your last contact with us;
• Newsletter subscribers: until you unsubscribe, then deletion or anonymisation;
• Job applications: up to 2 years after our last exchange, where no recruitment takes place, unless you object;
• Data relating to customer relationship management: for the duration of the relationship, then in accordance with the applicable legal obligations.

These periods reflect CNIL recommendations and may be adjusted in line with specific legal obligations.

Data security

NetExplorer SAS implements appropriate technical and organisational measures to protect your data against loss, unauthorised access, disclosure or alteration. This commitment is part of our overall security approach, underpinned by our ISO 27001 and ISO 9001 certifications, our GDPR compliance, and an infrastructure controlled end to end and hosted in France.

Your rights

In accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act, you have the following rights over your data:

• the right of access and rectification;
• the right to erasure;
• the right to restriction of processing;
• the right to object, in particular to commercial prospecting;
• the right to data portability;
• the right to withdraw your consent at any time, without affecting the lawfulness of processing carried out before that withdrawal;
• the right to set instructions regarding what happens to your data after your death.

To exercise these rights, contact our DPO at dpo@voltn.eu. We may ask you for proof of identity in order to verify your request. You also have the right to lodge a complaint with the CNIL (www.cnil.fr).
